Trade Show Lead Capture

Overview

The Trade Show module lets you capture leads on the spot by scanning business cards with your phone or tablet. Claude Vision AI extracts contact information automatically, and you can create a customer, contact, and deal in a single action. This guide covers:

  • Creating and managing trade shows with associated products
  • Scanning business cards using AI-powered vision for instant data extraction
  • Reviewing extracted data, understanding confidence scores, and converting scans into CRM leads

Before You Begin

  • Your administrator must configure the Anthropic API key under Settings → Business Card Scanner for the AI scan to work.
  • Each plan has a monthly scan quota. Check your remaining scans on the trade show detail page before heading to an event.
  • For best results, take photos of business cards in good lighting with the card flat and fully visible in the frame.
  • If you plan to associate products with the trade show for quick deal creation, make sure those products are already set up in your catalog.

Step 1: Create a Trade Show

Start by setting up the event in SalesBob before you attend:

  1. 1 Go to Trade Shows in the main navigation and click New Trade Show.
  2. 2 Enter the event name, location, and start/end dates.
  3. 3 Set the status to Upcoming (you can change it to Active or Completed later).
  4. 4 Save the trade show. You can now add products and start scanning cards.

Step 2: Associate Products

Link the products you will be showcasing at the event for faster deal creation:

  1. 1 On the trade show detail page, go to the Products section.
  2. 2 Click Add Product and select one or more products from your catalog.
  3. 3 These products will be pre-selected when you create deals from scanned cards, saving time at the booth.
  4. 4 You can add or remove product associations at any time, even during the event.

Step 3: Scan a Business Card

Use your device camera to capture business card data with Claude Vision AI:

  1. 1 On the trade show detail page, click the Scan Business Card button.
  2. 2 Take a photo of the business card or upload an existing image. The image is resized automatically to reduce API costs.
  3. 3 Claude Vision AI analyzes the image and extracts fields: name, company, email, phone, position, and more.
  4. 4 The scan results appear within seconds. Each extracted field includes a confidence score indicated by color.

Step 4: Review Extracted Data

After scanning, review and correct the extracted information before creating a lead:

  1. 1 Confidence scores are color-coded: green (high confidence), yellow (medium), red (low). Pay special attention to yellow and red fields.
  2. 2 Edit any incorrectly extracted fields directly in the form. Common corrections include separating first and last names or fixing email addresses.
  3. 3 The original card image is displayed alongside the extracted data so you can compare and verify.
  4. 4 If the scan quality is too poor, you can discard the result and re-scan the card with a better photo.
  5. 5 Add optional notes about your conversation with the contact to capture context while it is still fresh.

Step 5: Create the Lead

Convert the scanned data into a full CRM lead with a single action:

  1. 1 Click Create Lead to generate a customer, contact person, and deal in one step.
  2. 2 The deal is automatically linked to the trade show as its lead source for tracking and reporting.
  3. 3 If products were associated with the trade show, they are pre-attached to the deal as line items.
  4. 4 The lead source is set to the trade show name, making it easy to measure event ROI later.
  5. 5 You can also add a next activity or task (e.g., "Follow up in 3 days") right when creating the lead.

Step 6: Track & Report

After the event, use the trade show detail page to measure results:

  1. 1 The trade show detail page shows all linked deals with their current stage and value.
  2. 2 See the total number of scanned cards and created leads at a glance.
  3. 3 Change the trade show status to Completed once the event is over to keep your list organized.
  4. 4 Filter your deal pipeline by lead source to see all deals that originated from a specific trade show.

Tips & Best Practices

  • Scan cards immediately after conversations. Capturing data on the spot means you can add notes while the discussion is fresh.
  • Check your monthly scan quota before the event. Running out of scans mid-event is frustrating. Upgrade your plan if needed.
  • Take clear, well-lit photos. Flat cards with good lighting produce significantly higher confidence scores and fewer corrections.
  • Associate products beforehand. Pre-linking products to the trade show means each new deal is populated automatically, saving valuable booth time.
  • Set a follow-up task for every lead. Trade show leads go cold quickly. Adding a task during lead creation ensures timely follow-up.
