What public forms do

A public form is a branded intake page with a unique token URL. Anyone with the link can submit — no SalesBob account required. Submissions are stored, linked to a related deal or project, and can automatically move that record to the next stage.

  • Field types: text, number, checkbox, file upload, and section separators
  • Files submitted via the form end up on the linked deal or project
  • Stage gates let a completed form auto-advance the record
  • Turnstile captcha is supported on all public submissions

Before you begin

  • Custom Forms require a plan that includes the feature — check Settings → Subscription.
  • Decide up-front whether responses should link to a deal, a project, or stand alone.
  • For file uploads, confirm your storage quota has room — submissions count against it.

Build the form

Use the form builder to structure the questions.

  1. 1 Go to Forms and click New form.
  2. 2 Give the form a name and a description that respondents will see at the top.
  3. 3 Add fields: text for names, number for amounts, checkbox for agreements, file upload for documents.
  4. 4 Use section separators to group related questions.

Set link & routing rules

Decide how responses flow into the CRM.

  1. 1 Link the form to a deal, project, or customer — or leave it unlinked for standalone intake.
  2. 2 Optionally attach the form to a stage gate so a submission auto-advances the record.
  3. 3 Enable Turnstile if the link will be posted publicly.

Share the public link

Each form gets a unique token URL you can share anywhere.

  1. 1 On the form page, copy the public link from the Share panel.
  2. 2 Send it via email, embed it in your site, or paste it into a chat thread.
  3. 3 Revoke the link at any time by deleting the token — the form page returns a 404.

Review and act on submissions

All responses are stored and viewable on the form's submissions tab.

  1. 1 Open the form and click the Submissions tab.
  2. 2 Click into a submission to see every answer plus uploaded files.
  3. 3 Linked records update automatically — the deal or project shows the submission on its timeline.
  4. 4 Export submissions to CSV for reporting or external analysis.

Tips & best practices

  • Keep forms short — aim for 5 questions or fewer. Long forms have half the completion rate.
  • Use sections to group questions visually — respondents read chunks, not walls.
  • For onboarding, link the form to the deal — the sales rep sees the intake on the deal timeline.
  • Keep Turnstile enabled — uncaptcha'd public endpoints attract spam.
  • For signature-style agreements, use a checkbox labelled "I agree to..." — stored with timestamp and IP.

Need help?

If a submitter sees a captcha error, verify Turnstile keys are configured under Settings → Security. If submissions don't appear on the linked deal, make sure the link was set at form creation — retroactive linking is not supported.
