Email Sync Setup Guide

Connect your Microsoft 365 or Gmail account and see email conversations right on your deals.

What is Email Sync?

Email Sync connects your Microsoft 365 or Gmail account to SalesBob so you can see email conversations directly on each deal. Emails are searched on demand - nothing is continuously synced in the background.

  • View emails from customers right on the deal page
  • Pin important emails so the whole team can reference them
  • Share email access with specific team members per deal

Setup time: ~5 minutes

Before You Begin

  • You need a Microsoft 365 or Google account
  • Your organization admin may need to grant consent for the SalesBob app first
  • Email Sync is available on Professional and Enterprise plans

Admin Consent (if required)

For Microsoft 365, if your organization restricts app access, an IT administrator needs to approve SalesBob first. Gmail does not require admin consent.

  1. 1 Ask your IT admin to visit the Admin Consent page linked in Settings → Email Sync
  2. 2 The admin reviews the requested permissions (Calendar, Email read access) and clicks Accept
  3. 3 Once approved, all users in your organization can connect their accounts

Enable Email Sync for Your Organization

An administrator in your SalesBob account needs to turn on the email sync feature.

  1. 1 Go to Settings → Email Sync
  2. 2 Toggle "Enable email sync for the organization" to on
  3. 3 This makes the feature available to all users — they still need to connect individually

Connect Your Email Account

Each user connects their own mailbox via Microsoft 365 or Gmail.

  1. 1 Go to Settings → Email Sync and click "Connect Microsoft 365" or "Connect Gmail"
  2. 2 Sign in with your account and grant the requested permissions
  3. 3 Click "Enable" next to your connection to activate email sync

View and Pin Emails on Deals

Once connected, emails appear automatically on deal pages.

  1. 1 Open any deal — the Emails section shows conversations with the deal's customer
  2. 2 Click an email to read the full content in a preview modal
  3. 3 Click "Pin to deal" to permanently save an email on the deal for your team
  4. 4 Use the search bar and direction filter to find specific emails quickly

Share Emails with Your Team

By default, your emails are private. You choose who can see them on each deal.

  1. 1 Use the sharing bar on the deal email section to grant access to specific team members
  2. 2 Team members without access can request it — you approve or deny from the deal page
  3. 3 Sharing is per deal — granting access on one deal does not affect other deals

Tips & Best Practices

  • Pin the most important emails early — this makes them available to the team even if you disconnect later
  • Use the "Browse all emails" button to search across all emails with a customer, not just the current deal
  • Share proactively on active deals so your team has context without having to request access
  • Emails are fetched on demand, so there is no background sync or storage cost for emails you don't view
  • You can disconnect your email account anytime from Settings without losing pinned emails
